Creating Your First Quote

The Quote Builder is a powerful tool designed to help you create detailed, professional quotes quickly. Here’s how to get started.

1. Start with AI Magic Quote (The Fast Way)

The fastest way to start a quote is to use the AI assistant. Simply paste the text from a client's email or your own notes into the "AI Magic Quote" box.

Example Prompt: "Hi, I need a quote for 50 black AS Colour tees with a 2-colour print on the front for Apex Solutions."

Click "Generate Draft", and the AI will automatically search your product catalog, find the right decoration methods, and build out the line items for you.

2. Build a Quote Manually

If you prefer to build the quote yourself, you can add items step by step:

  1. Start by clicking "Add Group". A group is like a container for a set of related items (e.g., a product and its decoration). Each group has a "mode" that changes how it's priced, such as offering multiple quantity tiers or a single fixed price.
  2. Within a group, click "Add Item". This will open a dialog where you can choose to add a product from your catalogue, a decoration service, or a manual one-off item.
  3. Use the search to find the products and services you need.
  4. Once an item is added, click on it to open the detail view where you can adjust quantities, pricing, and markup.

3. Set Quote Details

Before sending, make sure to set the essential details for your quote:

  • Client: Search for and select an existing client, or create a new one on the fly.
  • Issuing Entity: If you have multiple business locations or entities, choose which one this quote is from.
  • Currency & Tax: Select the correct currency and tax rate. Note: You must click "Save as Draft" for the totals to update after changing these values.

Quote Settings

In the right-hand column, you can configure how your quote will look and behave for the client:

  • Show product images: Toggle this on to display product images on the client-facing quote. This is great for visual quotes and helps your client see exactly what they're getting.
  • Show tiered savings badge: When using "Quantity Tiers" mode, enabling this will show a "Save X%" badge on higher quantity options, encouraging clients to order more.
  • Enable Interactive Quote Page: This is a powerful feature. When enabled, your client can click to select different options or tiers directly on the quote page. When disabled, the page is a static, non-interactive document.

4. Preview and Review

Before sending your quote, it's crucial to see exactly what your client will see. Use the action buttons at the top of the quote editor:

  • Click "Preview Quote" to see a pop-up of the static document.
  • Click "View/Share Client Page" to open the live, interactive client page in a new tab. This is the link you will send to your client.

This final review ensures that all details, prices, and branding are perfect before it reaches your customer.

5. Finalize and Send

Once your quote is ready, click the "Finalise & Send" button. This will generate a unique, shareable link to a client-facing quote page. You can copy this link and send it directly to your client via email.

💡 Pro Tip

Use the "Generate Email Template" action in the Quotes list to quickly copy a pre-written, professional email containing the quote link, ready to be pasted into your email client.
